DEPLOYMENT

You browsed our site. You tried our online demo. You now have an idea of what our service would cost your company on a yearly basis. But you feel that some points still need clarification. You rightly believe that implementing a leave management system within an organisation is a serious project. You are wondering if you can trust a small French corporation to handle leave management within your company. In a few words, you are not ready to take your decision yet.

Let us describe what could be the next steps before your choose Figgo and deploy it within your company.

This description mainly applies to “national companies”. By national companies, we mean companies whose headcount ranges 30 to around 300 employees in one or more locations all within the same country.

In case of an international corporation (200 to 5 000 + employees in more than one country), the procedure would include additional steps which are not described below.

Step 1 - Online Demo

The first step, whether you are a national company or an international group, is to call us to organise an online demo. During the demo which will last between 45 minutes to 90 minutes, we will first show you some features that you might have missed regarding the user and supervisor role.

We will then log to the back office of the software and spend some times describing the administration functionalities. It will enable you and us to assess whether Figgo will comply with your company policies and local leave regulations. The opportunity of the integration of Figgo with your payroll or ERP system will also be discussed.

Step 2 - Quotation

After the demo, if it appears that Figgo could fit your needs, we will send you a price quotation together with an example of our Figgo service agreement.

Besides the recurring Figgo service fees which will be computed on the estimated number of active users, the quotation will include a one-off setup fee covering the professional services rendered in connection with the configuration of the software, the initialisation (import of employee data and opening balances), the administrator training and, possibly, the payroll interface.

This one-off setup fee should be in the region of 2 100 euros for a 100 employee company (without payroll interface) depending mainly on the complexity of your leave policies. The training session for the administrator will be performed via web conferencing (2 two-hour session). Add 1 050 euros plus transportation costs from France if you wish a one-day on site administrator training session.

It must be noted that no training is required for the final users.

At last, our quote will give you contacts in companies of your size, and if possible in your country, who have already implemented Figgo so that you can call them.

Step 3 - Deployment


Step 3.1 - Kick-off meeting :

Before the kick-off meeting, we will send you a “kick-off meeting handbook” documenting the issues which will be addressed during this meeting.

In most cases, the kick-off meeting will be held by telephone and will last around 2 hours (for a 100 employee company). During this meeting, the main issues discussed will be:
  • Accrual rules
  • Procedures to be implemented do handle compassionate leave and sick leave (either certificates required or not)
  • Approval procedures (one or two supervisors per employee?)
  • Part-time employees
  • Organization chart
  • Roles to be created and permissions granted to each role
  • Public and company holidays
  • Explanation on how the initialization files must be filled in
  • Integration with payroll system

  • At the end of the kick off meeting, we will agreed on a calendar for the following steps.
Step 3.2 - Configuration :

You will not be involved in this step. Based on what was agreed during the kick-off meeting, our consultant in charge of your company will create the website which will host the instance of Figgo used for your company. The default URL will be “ http://yourcompany.figgo.net ”, but you can use any URL that you own, such as http://leave.yourcompany.com.

Our consultant will also create your leave account chart and configure the accrual rules, the entitlement profiles and permission roles.

Step 3.3 - Initialization files :

You will then have to provide us with the two initialization Excel files. The first file contains the employee data (name of the employee, login, email, department, supervisor name, etc.). The second Excel file relates to the opening balances.

We will import this two files within your instance of Figgo that was previously configured (cf step 3.2). The application is now ready to be made available to the final users, but there is still the final step to perform: the administrator training session.

Step 3.4 - Administrator training session :

The administrator training session will be performed on an instance of Figgo with your own data and your own configuration. The training can be held on site or performed via the web and the telephone.

If on site, the training will last a little more than half a day. If on the web and telephone, we suggest to hold 2 two-hours sessions to minimize the stress due to a too long e-training session.

This training session is also an opportunity to modify the configuration of the software and to check the correctness of the initialisation data.

Step 4 - Go Live

You are now ready to make Figgo available to the final users. Our support will be available to you at any time.
